The Role and Team: We are seeking an experienced, highly organized, and proactive Executive Assistant & Project Manager to support the Head of the Global Commercial Organization (GCO), based in Zurich.
As a trusted partner to the GCO Head and Leadership Team, you will play a key role in enabling leadership effectiveness, driving operational excellence, and supporting the execution of strategic priorities across a global organization.
Working closely with senior stakeholders across regions and functions, you will manage executive priorities, coordinate key initiatives, facilitate leadership processes, and foster collaboration across teams. In addition, you may provide support to members of the Global Central Team and other senior leaders as business needs require.
Arrange domestic and international travel logistics, including flights, accommodations, and ground transportation, while adhering to budget and company travel policies. Draft and proofread emails, memos, presentations, and other correspondence on behalf of the GCO Head and leadership team, ensuring clear and concise communication.
Lead and coordinate global events and executive engagements from planning through execution, partnering with cross‑functional teams, vendors, and stakeholders to deliver successful outcomes. Work as a team with the other existing executive assistants within the organization, communication & team work are key.
Own new employee onboarding for our team from information sharing and training to adding to communication channels to securing equipment and supporting managers with new employees. Become a point person for our team to navigate internal tools and processes.
Ensure that team members are aware of company policies and procedures, as well as any specific team guidelines. Be flexible and willing to travel domestically and internationally as needed to support executive priorities, leadership activities, business operations, and key organizational events.
Support organizational change management and communication rollouts across teams. Facilitate cross‑functional alignment between departments and global teams across time zones. Coordinate internal recognition initiatives, team engagement activities and culture‑building efforts.
Your Contribution: Manage complex calendars and schedule meetings, travel arrangements, and other executive commitments, ensuring optimal time allocation and prioritization of meetings, appointments, and events. Prepare and manage correspondence, emails, reports, presentations, and other documents as needed.
Coordinate logistics for meetings, prepare agendas and materials, take minutes, and track action items. Assist with special projects, research, data collection, and analysis as required.
Oversee project execution, tracking progress, identifying risks and issues, and implementing corrective actions to ensure timely completion and successful outcomes. Communicate project status and updates to stakeholders, ensuring transparency and alignment throughout the project lifecycle.
Maintain detailed project documentation, including project plans, status reports, and meeting minutes, for future reference and knowledge sharing. Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and other departments.
Process expense reports, invoices, and purchase orders, and assist with budget tracking. Maintain strict confidentiality of sensitive information and ensure compliance with company policies and procedures. Drive executive rhythm‑of‑business processes, including quarterly planning, leadership offsites and business reviews.
Support procurement coordination. Act as backup support for other Executive Assistants during absences. Key Qualifications: Proven experience supporting senior executives in an Executive Assistant, Executive Business Partner, or similar role, ideally within a global commercial, sales, or marketing environment.
Excellent command of English, with outstanding written and verbal communication skills and the ability to build trusted relationships with stakeholders at all levels of the organization.
Strong organizational, planning, and prioritization skills, with exceptional attention to detail and the ability to manage multiple priorities in a fast‑paced and evolving environment.
Demonstrates initiative, sound judgment, and a proactive approach to problem‑solving, anticipating needs, removing obstacles, and ensuring effective execution of priorities. Brings a global mindset and collaborative approach, working effectively across cultures, functions, and time‑zones while fostering strong partnerships and alignment.
Exhibits professional maturity, executive presence, and the confidence to operate independently while supporting senior leaders and navigating complex organizational environments. Demonstrates a strong sense of ownership, accountability, and follow‑through, consistently delivering high‑quality outcomes and meeting commitments.
