Job Description Executive Assistant Duties (Primary Focus) Provide Executive Assistant support to multiple senior team members Manage complex diaries and coordinate meetings across various time zones Handle travel arrangements and logistical planning Serve as a point of contact for internal teams and external stakeholders Prioritise incoming requests and coordinate meeting logistics Manage confidential information with the highest degree of professionalism Office & Team Support Support the Office Manager with daily office operations Assist with general office administration and coordination Provide cover during holidays or absences when needed Contribute to maintaining a well‑organised and efficient office environment Events & Projects Assist in the planning and execution of the organisation's annual Forum (3‑4‑month preparation period) Contribute to ad‑hoc administrative tasks and projects as required The Successful Applicant 3 years minimum of experience as an Executive Assistant, Team Assistant, or Office Coordinator Native or fluent proficiency in English or French (ideally both) Excellent organisational skills with the ability to manage multiple priorities Strong attention to detail and reliability High level of discretion, professionalism, and adaptability Comfortable working in a fast‑paced environment Strong proficiency in Microsoft Word, Excel and PowerPoint Ideally, a good working knowledge of Google Workspace (G Suite) What's on Offer Full time role based in the office.
