Executive Assistant & Office Manager – Role Overview The Executive Assistant & Office Manager plays a pivotal role in supporting the CEO and ensuring the smooth day-to-day running of the office.
With a primary focus on high-level Executive Assistant support, this role manages complex scheduling, coordinates key communications, handles confidential matters with discretion, and acts as a trusted partner to the CEO.
Acting as a central point of coordination across departments, the EA & Office Manager helps drive operational effectiveness while balancing strategic executive support with hands‑on office management.
Office Operations • Oversee daily office activities to ensure efficiency and productivity. • Maintain office systems, procedures, and policies. • Manage office supplies inventory and place orders as needed. • Coordinate maintenance of office equipment and facilities.
People & Culture Support • Assist with onboarding of new employees (workspace setup, materials, orientation logistics). • Act as a point of contact for staff queries related to office operations. • Support a positive and collaborative workplace culture. • Liaise with external vendors, service providers, and contractors. • Negotiate contracts and monitor service delivery. • Ensure compliance with health, safety, and security standards. • Monitor office budget and track expenses. • Process invoices from time to time. • Prepare reports on office performance and operational metrics.
Qualifications • Proven experience as an Office Manager, Executive Assistant, or in a similar hybrid role. • Experience supporting C-level executives, ideally a CEO. • Strong organisational and multitasking skills with the ability to prioritise effectively. • Excellent written and verbal communication skills. • High level of discretion and professionalism. • Proficiency in Google Workspace and Microsoft (Word, Excel, Outlook, PowerPoint) and calendar management tools. • Exceptional time management and attention to detail. • Strong interpersonal and stakeholder management skills. • Problem‑solving mindset with a proactive approach. • Ability to work independently and handle sensitive information. • Adaptability in a fast‑paced environment.
Location & Working Arrangements • Enjoy flexibility with 3 days a week in our vibrant Hatton Garden office and 2 days working from home. • Flexi hours - start your day between 8am and 10am, then finish between 4pm and 6pm.
