You will actively manage project plans across all client stakeholders—chasing missing inputs, following up on client tasks (e.g., "Client hasn't sent us X, Y, Z"), and surfacing risks before deadlines slip. • Support the Business Lead: While the Founder remains the primary client spokesperson, you manage the 20+ operational tasks beneath the surface—sharing context internally to get client deliverables across the finish line. • Proactive Gap-Filling: Act as a smart go-getter who uses existing project context and materials to fill in gaps, anticipate delays, and take initiative to ensure client deadlines are hit. • Executive-Ready Cadence: Build agendas, pre-reads, concise meeting notes, status updates, and weekly visibility reports (on track, at risk, blocked) for recurring client meetings. • Support Consultant Teams: Help internal and external consultants organize deliverables, maintain momentum, and connect workstreams without replacing subject-matter experts. 2.

Core Technology Stack • Microsoft 365: Outlook, Teams, SharePoint/OneDrive, PowerPoint, and Excel • Superhuman: Email workflow, triage, drafting, and follow-up • Granola / AI Note Takers: Meeting capture, organizational memory, and transcript synthesis • Claude / ChatGPT: Analysis, synthesis, drafting, SOP creation, and AI-enabled workflows • Website / CRM / LinkedIn: Squarespace (or similar), CRM tools, and LinkedIn Sales Navigator Candidate Profile & Qualifications Experience & Capabilities • Proven PM Experience: 3–5+ years of project management experience running complex, multi-workstream projects with clear plans, dependencies, risk tracking, and executive reporting—ideally within professional services, management consulting, PE-backed businesses, or founder-led agencies. • Client-Ready Communication: Exceptional written and spoken English.

Professional, polished, and socially aware—able to communicate clearly and confidently with C-suite executives, consultants, and client teams. • Executive Support Comfort: Sees inbox management, calendar control, and executive follow-up as critical operating work, not as tasks beneath them. • Design & Marketing Capable: Skilled at creating polished, executive-ready PowerPoint decks, one-pagers, and marketing assets. • AI-Forward Mindset: Naturally curious about AI tools; actively uses AI to improve speed and quality while applying human judgment and protecting data confidentiality. • Systems & Process Operator: Naturally creates structure, documents SOPs, builds clean folder hierarchies, and fixes broken workflows permanently.

HR consulting firm serving private equity firms and their portfolio companies. We work alongside CEOs, CFOs, and CHROs on high-stakes talent, organization, and transformation priorities.

We are hiring a smart, hands-on, offshore Client Delivery & Operations Manager to run client project management, strengthen the internal systems behind the firm, and serve as a proactive, "10-steps-ahead" operational partner to our Founder & CEO.

This is a unique hybrid role that combines Client PMO Management (driving complex client deliverables across external stakeholders), Executive Operations & Founder Enablement (inbox, calendar, travel, and priority management), and AI-Forward Business Operations (process automation, marketing collateral support, and website maintenance).

How the Role Is Structured Typical Weekly Allocation: • ~25–30 Hours/Week (Core Priority): Client Delivery & PMO Management: Managing client-specific scopes of work, tracking deliverables across multiple client stakeholders, surfacing roadblocks, and ensuring deadlines are met. • ~20–25% of Capacity: Founder Enablement & Executive Support: Daily inbox triage, calendar management, travel coordination, and executive follow-through for the Founder. • Remaining Capacity: Operations, AI Workflows & Growth Support: Internal systems improvement, CRM/prospecting management, deck creation, social media/LinkedIn support, and light website upkeep.

When responsibilities compete, the priority order is: active client commitments and deliverables; urgent Founder support; internal operations; then prospecting and marketing support. Key Responsibilities 1.

Core Client Transformation PMO (Client Delivery & Deliverable Tracking) • Client-Side Workplan Ownership: Create and maintain integrated project plans across client engagements—tracking milestones, dependencies, task owners, and due dates. • Drive Stakeholder Accountability: This is not just internal tracking.

Founder Enablement & Executive Support (~20–25%) • Be 10 Steps Ahead: Serve as the Founder's operational backbone—anticipating needs, preparing digital documents before meetings, and ensuring he knows exactly where he needs to be and what needs to happen. • Daily Inbox Management: Triage the Founder's email daily across multiple channels, flag high-priority items, handle routine follow-ups, and queue drafted responses for review using AI workflow tools. • Calendar & Schedule Ownership: Manage complex client and internal scheduling, resolve calendar conflicts, protect focus time, and coordinate travel logistics. • Priority Tracking & Closing Loops: Maintain a live view of the Founder’s commitments and decisions; proactively chase information to close open operational loops. 3.

Client Lifecycle & Portfolio Operations • Seamless Onboarding: Set up client workspaces, files, contacts, meeting cadences, project plans, and communication norms so engagements start cleanly. • Active Portfolio View: Maintain a single, reliable view of priorities, deliverables, owners, timelines, risks, and consulting capacity across all clients. • Offboarding & Archiving: Close out deliverables, organize final materials, capture lessons learned, and archive project files professionally. • Bench Coordination: Track commitments from employees, contractors, and specialist partners to ensure smooth project handoffs. 4.

AI-Forward Operating System, Systems & Multi-Hat Execution • AI as a Force Multiplier: Actively leverage AI tools (Claude, ChatGPT, Granola, Superhuman) to synthesize information, draft client communications, create meeting outputs, write SOPs, and speed up delivery. • Marketing & Deck Support: Create polished, on-brand presentation decks, sales materials, one-pagers, and promotional collateral at the Founder’s direction. • LinkedIn & Social Media Management: Support company and Founder LinkedIn activity—updating prospect data, preparing target outreach, and scheduling content. • Light Website & Content Updates: Comfortable stepping in to make copy tweaks or formatting updates on platform software (e.g., Squarespace or WordPress) cleanly without breaking the site. • Adaptable "Multi-Hat" Mindset: Jump in to support ad-hoc operational tasks as the business ebbs and flows. 5.

CRM & Prospecting Operations • CRM Discipline: Maintain company, contact, opportunity, and follow-up data within the CRM. • Prospect Research: Research target private equity firms, portfolio companies, and executive decision-makers based on Founder direction. • Outreach Execution: Prepare weekly target lists and ensure promised sales follow-ups occur consistently.

Mindset & Attributes • High Agency & Ownership: Proactively looks for what needs to be done, clarifies ambiguity, and closes loops without waiting to be managed. • Proactive & 10 Steps Ahead: Thinks ahead of leadership, anticipating client delays, schedule conflicts, and document needs before they are requested. • Low Ego, High Standards: Equally willing to handle detailed administrative tasks and high-level client-facing PM responsibilities. • Calm Under Pressure: Manages competing priorities smoothly in a fast-moving environment without losing attention to detail. • Discreet: Handles sensitive PE, client, executive, and commercial information with absolute confidentiality.

What Success Looks Like (First 90 Days) • First 30 Days (Learn & Stabilize): Master our internal tools and working styles; take over daily inbox/calendar support for the Founder; assume ownership of meeting notes, action tracking, and project hygiene across active client accounts. • Days 31–60 (Own the Cadence): Independently maintain client project plans and weekly status reports; drive client onboarding/offboarding checklists; improve CRM data accuracy; produce marketing decks and social updates as needed. • Days 61–90 (Create Maximum Leverage): Anticipate client and Founder risks before they occur; operate client engagement cadences with minimal direction; optimize at least two recurring AI workflows; materially reduce the Founder's operational burden.
